Institute of Christ the King: around twenty locations, four guest houses and four kitchens, all in one piece of software.
An institute with priests, seminarians and sisters in around twenty locations. Each had its own website and admin panel. Today website, rooms and kitchens sit in one piece of software, even in the mountain house, where finding a cook is hard.
The starting point
Every location had its own website and admin panel, on Wix, on WordPress and more, each with its own look and its own errors.
And there is the mountain house, open only in summer, 40–45 km from the nearest town. Finding seasonal staff is hard, a cook above all: the kitchen is run by seminarians and volunteers. And the guests change: retreats, priests, families, young people.
One single website
One website with a section for each location, Mass times, activities, gallery and fundraising with several ways to give. On the home page, every day, a different thought: we prepared 365 of them.
A single login leads to all the locations and to the main website. Each location has a CMS that makes editing pages very easy: content, images, menus, messages and the «publish» button. Whoever manages a location only touches their own, and they all look the same, with no errors.
The kitchens
There are four kitchens, all in the same software. We wrote the recipes and menus ourselves, for every type of guest, special menus included. The menu of the day prints with recipes and quantities: whoever is in the kitchen, seminarian or volunteer, knows what to do.
Behind it is the catering software: the daily sheet with breakfasts, lunches and dinners, three-week menus with their own rules, stock with delivery notes read from a photo, inventories and supplier orders prepared automatically. The target cost per person is written into the system, and the system keeps an eye on it.
The rooms
There are four guest houses, and all the rooms are managed from the same admin panel. Stay dates are entered from the admin panel and the booking button appears on the website. Returning guests find their details and last year’s room already suggested. An email arrives with the amount, bank details and payment reference; payment is by bank transfer, with no intermediaries keeping a percentage. The office sees who needs contacting, who needs checking and who has paid. Arrivals and departures are in the same place.
