AI agents and custom business software in Milan: the system does the repetitive work, the decisions stay with you

The request

A front desk that works even when nobody is at the counter.

The problem

Three different classes, each with its own credits. Who can book what, how many credits are left, who has paid and who has signed the form: before, it all sat between WhatsApp, notes and the memory of whoever was at the counter.

What we built

• The client area, where you sign in with a link by email, no password.
• Specific credits for each type of class, which clients buy by themselves.
• Class sign-up, even several at once, and following your own instructor.
• Forms, medical history and consents filled in from the phone.
• The till, the instructors’ shifts and pay, and the website in the same dashboard, in two languages.

Clients book, pay and sign by themselves, and the front desk has much less work left.

The request

Putting order into a shop with forty years of history.

The problem

Mark-ups decided by eye, higher on some products and lower on others. Private customers and businesses handled in two different ways. And with every invoice carrying a price rise, prices to recalculate by hand.

What we built

• Mark-up rules: the software checks incoming invoices and, if there are increases, suggests the new price. You decide.
• Quotes, delivery notes, counter sales and invoices are done by scanning products with the barcode reader, without writing anything by hand.
• Everything goes out by itself, by email and on WhatsApp.
• The «Today» screen with the day’s tasks and deadlines, and three automatic reminders for missed payments.
• The CRM, with private customers and businesses in the same system.
• Artificial intelligence: from the phone you can ask the software for a report or to print labels.
• The connection to the thermal label printer, the till and the card terminal.

Today a quote or an invoice takes a few seconds, and several tasks can be done by artificial intelligence.

The request

Keeping the mountain house, open only in summer, running even when there is no cook to be found.

The problem

The house is 40–45 km from the nearest town: finding seasonal staff, especially a cook, is hard, and the kitchen is run by seminarians and volunteers. And the guests change: retreats, priests, families, young people. On top of that, every location had its own website and admin panel, on Wix, on WordPress and more, each with its own look and its own errors.

What we built

• Recipes and menus, written by us, for every type of guest, special menus included.
• The menu of the day prints with recipes and quantities: whoever is in the kitchen knows what to do.
• Rooms, arrivals and departures.
• Stock, and supplier orders prepared automatically.
• One website for all the locations, with a very simple admin panel to edit the pages: each location manages its own, and they all look the same.

From neighbourhood shop to online shop for building trades, with 50,000 tiles sold without a warehouse.

If you sell over the counter and online with two separate stocks, you have to keep them aligned by hand. With the business software connected to the online shop there is only one stock: what you sell in the shop is also deducted on the website, and what you sell online is also seen at the counter. It can be added to an online shop already built with us.

Private customers and businesses

• At login you choose whether you are a private customer or a business: private customers go to the normal online shop, businesses to a B2B shop.

B2B without a warehouse

• Clients create the orders themselves. The system groups them and sends them to the Bottega’s suppliers.
• Suppliers who deliver to the building site receive the order as it is. For the others it is grouped into a single order: they deliver to the Bottega, and the next day the material leaves for the site.
• In all, 24–48 hours from the order.

The B2B client area

• Every client sees their own documents: delivery notes, invoices and quotes, which they can also make themselves. Most clients now make their own quotes, and the counter has less work.

The tools

• Tile search from a photo, across about 500 catalogues and 50,000 items: the right tile is found, ordered and arrives in a few days for small jobs, in a couple of weeks for large areas. The tradesman buys tiles and adhesive, and it all arrives on site.
• For private customers, a materials calculator for painting, electrical and plumbing work.
• Rendering: you upload a photo of the room to renovate and see what it could become.
• Guides, from how to paint to how to change a socket.
• Colour recognition: from a photo, the system suggests the nearest RAL.

Everything run by the software, without a warehouse: hundreds of thousands of euros in turnover a year.
